  • Exhibitors must provide proof of insurance and can either: 

    OPTION 1: Provide a certificate of your own insurance from your liability insurer per the specifications below. 

    MUST BE NAMED AS ADDITIONAL INSURED: 

    • Western Fair Association, 316 Rectory St, London, ON   N5W 3V9  

    • Corporation of the City of London, 300 Dufferin Ave, London, ON   N6A 4L9 

    SPECIFICATIONS: General Liability insurance coverage of at least $2,000,000 inclusive of bodily injury and/or property damage per occurrence during the occupancy period of January 7-11, 2026.  Policy term must be inclusive to move-in and move-out dates.

    CONDITIONS: It is a condition of your contract to hold harmless the Western Fair Association and the Corporation of the City of London against all charges of liability. Failure to provide proof of insurance may result in immediate termination of your contract, forfeiting all monies deposited and removal from the show without further consultation or financial recourse against Western Fair Association. Exhibitors who do not have Comprehensive General Liability insurance are deemed personally liable. Further, the Owner reserves the right to require the Exhibitor to provide any additional insurance coverage as may be required by the Owner in the circumstances of any undertaking carried on by the Exhibitor, it’s servants, agents, employees or otherwise on the Owner’s premises.   

    If any of the above information is missing or incorrect, it will not be approved

    OPTION 2: You may obtain insurance coverage from the official insurance provider for the Western Fair, Vendor Insurance LTD. This company specializes in special event insurance and offers inexpensive exhibitors’ insurance. This form can be downloaded from the Exhibitor Portal under the ‘Insurance Requirements’ tab.

  • Exhibitors will receive six (6) exhibitor badges for a 10 x 10 booth and two (2) additional for every additional 10 x 10 booth purchased, up to a maximum of 30.

    If you require more than the number of badges provided with your booth, additional badges for employees working at the booth may be purchased at $12.50 each (HST included) prior to January 3rd.

    • Badges for staff can be picked up from the Show Office starting January 8th (first day of move-in). Any remaining will be moved to the will-call station by the lobby main doors one (1) hour before the Show is open to the public and will remain there during Show hours.

    • NO BADGES WILL BE MAILED OUT

    • ELECTRONIC BADGES NOT AN AVAILABLE OPTION 

    • BADGES ARE NON-REFUNDABLE

    Exhibitor badges are your access into the Show, and all Exhibitors will require a badge to enter the Show.

  • J-AAR Expo Centre Address:

  • There is no on-site crate storage in the J-AAR Expo Centre. If you need additional curtains for storage in your booth, connect with our team during move-in to create arrangements. Crates may be stored outside along the back fence line of the J-AAR Expo Centre.

  • J-AAR Expo Centre:

    20’ wide by 16’ tall (Pavilion)

  • First Aid and security are in the Show Office that is located along the North wall in the Pavilion.

  • During move-in all gates and parking lots will be open. Do not park in any designated fire lanes or ‘no parking’ zones.

    Exhibitors are recommended to park in the corner lot of Rectory Street and York Street. Any large equipment or trailers must be parked in this area.
